Goal

Reduce dependency on external suppliers for recurring content without sacrificing output quality or brand consistency — and free up budget for higher-value marketing activity.

Context

Recurring assets — LinkedIn posts, newsletters, supporting content — were being produced through a cycle of brief, draft, feedback, revision, and repeat, with external suppliers at each stage. Every round of feedback added time and cost, and consistency suffered because the brand guidelines lived in people's heads rather than in the workflow itself.

The problem wasn't the freelancers. It was the process.

The fix wasn't to hire differently. It was to redesign the production system so that quality and consistency were built in from the start rather than corrected at the end. A system where the brief, the tone parameters, and the quality checkpoints were documented — so the output required refinement rather than rework.

I introduced two interlocking components: a structured Canva template system for design output, and a ChatGPT workflow built directly around the company's brand guidelines and tone of voice. Together, they replaced the brief-to-freelancer model for recurring content formats.

The Canva templates standardised visual output so every asset started from a consistent, brand-aligned foundation. The ChatGPT workflow was structured — not a blank prompt, but a documented process with clear inputs, tone parameters, and quality checkpoints.

Quality checks remained in place throughout. The goal was faster and more consistent, not faster and worse.
